still not the answer about the 25th of august these are the side effects of the meeting... we all want to see the sun and the sights and have (really cold) beers and go out all together. but the actual meeting is the day we all go a place put the car in line and take good fotos

Let me explain...

I'm the co-president of the celicat20 italy club, and I use to organize every national meeting we make, because Parma is quite central between Northern Italy and Rome.

So it would be not a big problem for me to make another one... for sure I have to make it here 'cause I perfectly know the places !

What we should do?
Everything we want !
Usually we make in this way:

Saturday we wait for all the people to come here in the afternoon... usually the place is located in Varano, at the local circuit ( www.varano.it ).

Then, as soon as all the people is arrived, we move to the b&b, and after to the restaurant.

Sunday morning usually we make a 50/60 kms trip of mountain roads to reach typical restaurant in the Appennini mountain.

In the afternoon there is then the time for pics, and walk.

We can even think about making 100 kms the next Monday to go to the Tirrenian sea.

WE have time, so any idea is appreciated...

here is my idea... close to yours.

friday we meet in parma... in a central spot of parma.. maybe a square next to a coffee shop or something similar. it has to be something easy to be found. for all of us it is going to be a very long day.. miles and miles of travelling so you should show us directions of the hotels we arranged from before.

saturday at noon we get all together we have something to eat and meet up and we do a nice travel to the local track (*) for hundreds of fotos and have time. we go later back to parma for saturday night out and lots of cold beer, or wine, or vodka or what ever we wish for

sunday after the headache from alcohol passes we can go for good trip... dont know where u choose to see italy... maybe like the ferrari museum or anything. i know italy is very beautiful country an i dont thing we get bored. dont forget that something u see every day and dont want to see it any more i something we never saw it before and we would love to see it. (this is the only difference from home meetings... u choose different place every time)

monday the official meeting will be history but (who ever has time and wants) can go anywhere with italian friends directions (alone or in groups or even all together) and have the hollydays of our lifes. (for example i want to visit monaco )

this is the plan in general. what u guys think? what u like and what u dont like? all opinions are welcome

(*) i contacted imola track (with some help from malpaso) if is possible to go there and drive in the track. i am waiting for reply. if the reply that we can go there i beleive is the only thing on the plan that can not be changed.

2 points i missed:

on friday cars can not come on same time.. its almost impossible to arrange what time finishes a 1-2-3 thousand km trip. so some of us will have to stay there almost all day long. ofcourse there is are the mobile phones... very helpfull now days so we get in contact if we miss a turn or get lost or be late. every one in a convoy MUST have at least one others number and the head of the convoy must have all of them. (this is a detail)

second point is that noone has to be there all 3 days. maybe one wants or can come only 1 or 2 days. he is also welcome just to tell us to arrange where we meet. everything in the meet is optional but it will a shame to come all that way and not to feel the whole meeting.. cos i beleive is not just be in the meet or seeing the meet... is feeling the whole thing.

I like the sound of all of it.
We will probably take a week or two off work so we are flexible as to when we set off on the trip and when we leave for home.

Hopefully if all the uk people could do something similar (maybe not 2 weeks but long enough so we aren't rushing to get there and back? Maybe stop off at a B&B on the way there? who knows? we can sort that out nearer the time with the rest of the uk convoy.

Let me decide what's better for the meeting planning...
for example it's not a good idea to have the first meet, waiting for all to come, in Parma... too much confusion!
I'll choose a place out of the city and near the highway exit.
If you really want to help me, just let me know what you prefer me to take you to see... for example:
maranello-ferrari?
Parma centre-monuments and shops?
A day at the tirrenian sea?

And please tell me how many days i have to organize...
3 days? That is to say the arriving would be on Thursday and i'll organize the meeting for Friday, Saturday and Sunday?
Obviously people can arrive everyday of the meeting, not necessarily on Thursday.

I think now it's the time to beginning to count how many people would come, where they'd come from,
and how much days they want the meeting will be ( max 3 days - min 2 days )

PS: I am talking about the meeting only.
Obviously if someone wants to arrive here and have an holidays the days just before or after the meeting, I'll give him advices for the places.

btw, for example, the ideal would be to have an accomodation for ALL the members and cars in the same hotel:
for the last italian meeting, I found locally an hotel in province with many rooms and closed park for the cars...
but if we are going to be more than 30 cars/50 members I'll have to find something else...

and i also want to see most of celicas that i only saw them at internet. like red angel ops sorry orange and gtfour.ch family. i like their meetins so much. i think snekeola can commucate with them for this meeting. i would like to see fensport cars and this purple 600 bhp gt four from uk also. and the black hks gt four from gtfour.dk ( i think its orrange now too)
who knows may ne we have a track
btw. should a celica should be orange to be a show car?

First of all we have to organize a few things.

1) We all know that we want to hold a pan european Celica meeting. Fine.
So we have to make sure that all of the communities and boards like 6GC, GTFour.ch,GT4OC, GT4EC, GT4DC, CelicaTech, all Celica boards and Celica sections of all Toyota boards know about this!

Therefore we have to have 1 organizer from each country (a person who will come to the PECM and who is responsible for the organization of his country [information to his members, convoy planning...]) If the responsible person of one country will find out after a while that he won't be able to come to the meeting, he will have to give his organisation and all information to another member of his country! Then we will be on the save side and everybody is informed

2) We have to find a responsible organization crew! 2-3 people who will receive all the information of the resposible "Country-Organisators" and who wil finally organize the meeting! I would recommend a list with:

1.: Recycle as he had the bloddy idea
2.: a person @ the location
3.: a person @ the location

3) We have to know what we want to organize: OK, it could be a meeting with:
Trackday, 1/4 mile, roundtrip through the mountain side, food, tech and talk, hotel, culture, video shoots, music and party maybe @ tracksite ...?

You see we have a lot of options.
But if we decide that we go on a track or do a !/4 mile or parcours event.... then we need a place for that! (Track, Airfield....) Then we should plan the other parts of the meeting around that.

We have to see that we might have a few hundred cars out there!!! I would guess 250-400 Or what do you think???

4) As a lot of us have got a long trip to get there, we should make it at least a full 2 day event (that means plus 1 day arrival and 1 day leaving) Beside that we could do it like @ the GtFour.CH Meetings and do a Video shooting day for all who would like after the event days.

Organisation is the moooooost important thing to make this event a happening

first of all i believe is better to let wolf organise anything (he knows better what is good to see there and what is not + tracks, hotels, parking)

second is too soon to say someone for sure that is coming. many thinks can happen in 1 year.

third and most important: its a celica meeting, not a gt4 one, so if u have friends with celicas (any year/model) tell them that they are welcome

1) I am cool with that. For me it is not important who is going to organize that. It is how well they do it... An i am sure who ever takes on this task of planing such a big event. Is going to put so much efort into that, that it will be a great event

2) Well i do not agree with that point if i understood you right. It is important to plan such things in advance. And 1 Year is not much time! I planed one of the GT Four meetings myself. And it is a lot of work!!! So lets get some ideas together (when, where and how) and then lets build a organization team (with wolf and who ever would like to participate) because it is a lot of work! Trust me

3) I never said that it would be a GT Four event... Please reread my post. I was just trying to offer my help and wanted to point out some facts i had to encounter while i organized the last years meeting. I am sure you will agree. Anyway, we both said it is a Celica meeting. So lets get back to the point where we plan this meeting.

I would say lets make a full 2 Day Event.
With 1/4 Mile (looking forward to see u there Tufy )
some time on a great racetrack
and maybe a nice party at the track with our cars music, drinks and a BBQ....

So Wolf is Imola a racetrack we could rent for a day? (Is it possible? How high are the costs? can we use the space around the treck for side events?)
What else can we do at the same time at this location ( 1/4 Mile???) while maybe 40 of the 250+ cars are on the track?

snakeloa: sorry mate .. i missed the part of other celica communities. i am just making sure for all of us to understand that is a celica meeting all celicas are welcome the meeting will be organised to the last detail, its going to be a 2 day meeting (saturday and sunday) imola unfortunately is not an option (unless they reply to my emails) but as i can understand there are many tracks in italy we can use. the more people the better but till the last moment any one can join the meeting. the number of the celicas on the meeting does not affect the planning of the actual meeting. only hotel planning can be changed. any way in 2-3 months that everyone is informed about this (from websites and local clubs) we will have a good idea of the number of celicas and people there.

so to put an other name to the list

don't worry about that.... the meeting is ALREADY ready, one year in advance !

Because I'll use the format I already used for every italian national meeting I made here.

So this is not a problem.

The only thing really important for me would be to know the EXACT ( +/- 10 ) number of participants...
and this could be know only few months before the date.

I could say that for the 31 MAY 2007, I have to know who will be here.

And I'll have to have a money account for EVERY participant:
that's how I make for every meeting I made to avoid problems with hotels, b&b, or restaurants' reservations.

For example a 150 euros account should be enough for a 2 days meeting.

And 50 euros more if we want to rent a track.

Imola is IN Imola city, so they allow to use the track only in FEW important events per year, Formula 1 and a drag race...

Prices are 6500 euros reserved for us for ALL the day, with 50 cars it'll going to be a 130 euro for participant... but I think we are going to be more than 50 cars...
at least 20 cars from our celicat20.it, so the rent of the track should be cheaper...



To tell the thruth I'm sure it won't be so difficult to organize it and I tell you why...
because to move so many ( 50 ? ) cars, with many not-italian people, every transfer will be VERY slow...
so if we are planning to make a trackday for a day,
the other day we "only" will have the time to go to Maranello to see the "Galleria Ferrari"... 1,5 hours to go, a pair of hours to stay there, and 1.5 hours to return in Parma... then some fast mountain roads to go to the dinner place, and the day is gone !
