every weekend from mid july to late september is booked. when do we have to tell them that we want the track for 25aug2007 and do we have to pay in advance?



Exactly... I know this...

the first days of the 2007 I'll have a look on their calendar and see if the 25 August would be free...

If it's, I'll call them and pay in advance in May 2007, when I'll receive the money from the participants...

If it is not... I'll look for another track, but the problem would be it will be MANY kms from here... so much time lost in transfers...

Ok i got a few questions....

As we plan to have a meeting with a trackday we need to think about a few things:
  • Which track is well suited for us (remember only one group @ the time will be on the track)
  • How many participants as a group can enter the track @ the same time
  • How many groups can drive during that day? (from when to when?)
  • Can we hold a 1/4 mile race @ the same time at the track location or nearby
  • How much will this track cost in total?
As we are going to spent nearly the whole day @ the track area do we have enough space to park all these Celicas? I mean an area where we all can look under each hood and have a nice tech talk....

I think the track question is more important than the question for the location where we are based (hotel...). Because as you remarked right in this big group we are slow... and we cannot travel to much. We want to spent these 2 days together... but not half a day in a slow convoy wink.gif So i think first need a track and then we build everything around that...

Just as an Idea. This is the varano track layout...

maybe we could use the big redmarked track as race track and the small red marked "Test Area P3" as our 1/4 mile area.

I guess we need a track with:
  • A race track
  • something like a 1/4 mile or drifting area
  • a parkingarea or a flat field where we can park all cars and have our tech talks
  • an area where we can sit and watch the others go wild on the track or on the drag strip
Lets keep everybody busy with something or offer them options to do something while they are waiting to get on the track

i think the best solution is all car to be in the pit lane. (i suppose if u rent the track we rent also pits and timers) so plenty of room (28 full pits rooms says in the website) and we can get lap times for each car (correct me if i am wrong). so who ever wants to go on track will have no problem (i believe very few will want to go test their time with beasts racing:P

a convoy is slow in cities but on highway with the right cars at the write spot is perfect (in cyprus we manage to get up to 130 cars in same line going at legal speed with no problems of getting lost) of course is going to be slow (rwd + lwd cars, not familiar with roads) but i dont think is going to be tragic
The pit lane usually has to be clear for ambulance and firefighters... ( We have to get some information about the habbits of this track... Wolf?)
And in the pit boxes we might manage to fit 28 maybe double = 56 cars....
So we need some kind of area to fit the other 400 wink.gif
We would need a schedule (for Ex. 15:00 Group b enters pitlane; Group a enters Drag Strip....) I think we have to realize that a few hundred cars need quite some space and could if not well scheduled cause a great confusion...

So if we want Wolf could get into contact with this Race track and ask them:

Is the track available at our date?
How many cars can enter as a group the pit lane area and the track?
Could the racetrack be like i described obove half raceway half 1/4 drag strip?
Do they have an additional area to place the other cars which are neither on the strip nor in the on the track?
please feel free to add more questions...

Please organize the German convoy, and read twice what I already write about the track's availability, about the drag race, and the track's costs.

I'll care the meeting organization by myself, as I already done it many other times.

As I already told, you, the national referents, just have to tell me how many members from your nation, before the 31 of May 2007, and pick up the money accounts.

mates. the point is to understand that this is something never happen before. all of us have questions and stress. it will be done and it will be perfect cos it has happened many times before as italian celica meet (maybe italians have already gone to that places but we havent). so i suggest to wolf to choose the root of italian meetings that was the most easy to control. (out of curiousity how many cars were on your biggest meeting?)

in the meanwhile we all need to stay relaxed, find an average cost to tell our members (for example from cyprus i already found ships and shorter roots to be there friday afternoon and the cost is about 1400-1500 cyp (2450-2600 euro)

note: wolf cypriots will come to ancona friday noon and go back at ancona wedsday noon, so 5 nights for the cypriots

Yes, but as I ALREADY wrote, now we have to wait TILL the 2007 Varano's events calendar.

Any other consideration about Varano's track is useless till then.

Other tracks would be too far from here, or unavailable ( like Mugello, Imola or Monza )

If Varano will be engaged the 25/26 of August, we will have 2 option

a) don't have track and drag sessions
b) consider to go there the next Monday or Tuesday when the rack will be available for us

But we have to wait the 2007 events calendar for first

Our biggest was 30 cars/50 members... unfortunately Italy is soooo long, 1300 kms, and farthest members
don't come to many meetings....

30 or 300 cars makes NO difference for the planning, if not for the slower transfers.

By the way Varano's paddock is ok even for a 500 cars meeting:

Because I'll use the format I already used for every italian national meeting I made here.

All i know is that we ( you ) plan a big meeting where we all want to see each other. And we know the date. We know that we want a race track and yes you have been right you quoted the costs. My fault!. But we don't know much more.

So please do me favour. I am looking forward to this. Give me a rough plan of how this event is going to look like. Maybe we can assist you with some great ideas.

Seems to me that I'm not able to explain:

1. If you want, I'll make a meeting here in Parma, where I live.

2. I made many other meetings here, so I KNOW how to do it, and difficult is to make everything to be perfect.

3. Given that we CANNOT make hundreds of kms, for a 2 days meeting, to go to the next available track, WE HAVE to use Varano's track, in Parma's province........ IF AVAILABLE.

These questions are not important, IMHO, because:

ANY consideration is useless till we know if the track is available,
and for the reasons I wrote before, Varano is the track to go in ANY case.

BTW, if you really want to know:

- 20/25 participants for 25 minutes session

- 25 minutes sessions from 9 am to 5 pm, so 12 sessions in a day

Well i know you said that! But i asked if that partical part of the track would be big enough for 1/4 mile. I do not know the track but i am trying to get some ideas together. So i guess when you tell me it should be ok for only 1/8 mile that we won't be able to make 1/4 mile drag race beacuase it is not big enough? right?

And my last qustion, would the varano track guys allow a booking request before January 07? Maybe we could get a foot into their door?

Joerg...

on the Varano's site I gave you, there are ALL the track measures.

The pitlane is 440 m. long, so it's impossible to make a 1/4 mile drag race on it... and it's the longer straight in the track.

the events they make are all cars' or bikes' championships' races...

do you understand it's not possible booking a date NOW without me to know IF we are really going to do it, and HOW MANY people is going to PAY 6500 euros ?

Moreover they HAVE to give the priority to championships' events over anything else.... don't you think ?

Do you understand it ?




So, please, let's work how I already told...

we HAVE to wait the 2007 events' calendar.

THEN we'd make any reasonment about the track.

wolf. if we rent the track what comes with the track? timers? parking outside? covered pits?

I am talking about the Straight line on the track between turn 3 and turn 4 smile.gif

but anyway as i see now that the testarea which is one one side about 1/2 the length of the straight line between turn 3 and 4 is only 500meters long the whole line between 3 and 4 might only be 500 meters. So this is to short i guess. But it would be still fine for a 1/8 mile.

But i would still prefere a 1/4 mile event nearby if there would be a slight chance wink.gif

Lots and lots of hotels, not so xpensive...could be pretty cool...

Anyway, wherever it is held, I would love to come...and I will if I can!

Folks, I just love the way things goes biggrin.gif. So let me bring out some comments (all just "my humble opinions" of course wink.gif)

1. I think is damn important how much cars will be there. It's complicated find parking place and accommodation for 200 cars ( so probably for 400 people! Don't forget many of us will not come alone). And can you even imagine 200car trip (joy ride... however you call that)??? I can imagine 40-50 cars... not 200. So It's not the same. (IMO)

2. I don't belive all members there will want race (1/4 mile or something)... you know my main points why I'm going are:
  • meet people face to face and talk... you know, just sit on ass and chat (drink plus BBQ mentioned few posts ago) wink.gif, something like this. Now I just know couple of nicks (maybe first names) and picture of their cars smile.gif
  • enjoy trip like Wolf described here:

  • make tons of pictures... Celicas, people, nice places, Tufy's beast... (I'm talking about car) wink.gif biggrin.gif etc.
you know what I'm talking about? I will not come there race with any one, I will come meet people and see as much as possible.
You know I just don't like an idea "you must go there, you must do this..." etc. Better one is something like "here is our meet base, we may do this, this and this. So choose who wants go with 'X' and make some races, or who wants go with 'Y' make some trip, or with 'Z' walk somewhere... After 5 hrs we meet here again" (hope you understand what I mean...)

3. I belive not just me planning to stay there more than two days... I belive it's not bad idea think about this meet more complex... I mean, for example: there will be 2days "mandatory" meet (programme useful for few tens or hundreds people, so all that things you already mentioned should happend) and then some optional "after-meet" part (next two days?). I belive that after-meet will join half maybe even quarter of people. This part would me more "mobile" (sleep every night at another place) to see much as possible from north part of Italy.

4. about accommodation. I'm afraid if we want good one (not overpriced and safe for cars) we need think about this really soon (may 07 is IMO damn late)...


so... some "my opinion" results:
- there must be "raw account" of main meet people and then must be clear who will stay there for more that 2 days + there must be vision what to do and where to go.
- there must be two (or more) programmes depended on counts (or taste) of people. Something like this: for 50 cars meet will be this place for stay and this we will do, for 100 cars it's another place but the same programme, for 150 cars is everything different...
EDIT: that's why if anyone who is not sure to come or not to come, will see there are options to do and finaly reason to come and feel fine. of course there must be some deadline for final count -> since that just programme for 50/100/150/200/more will be that one actual and unchanging for Wolf_tm's performance described in his post few days ago.

I absolutely agree with snakeloa's idea of "Country-Organisators"... I may be just myself organisator , but it sounds major biggrin.gif. I have already post advertisement into Czech Toyota club forum wink.gif so we will see...

but anyway as i see now that the testarea which is one one side about 1/2 the length of the straight line between turn 3 and 4 is only 500meters long the whole line between 3 and 4 might only be 500 meters. So this is to short i guess. But it would be still fine for a 1/8 mile.

But i would still prefere a 1/4 mile event nearby if there would be a slight chance wink.gif

I still suspect you don't read my post.

As I ALREADY wrote 5 posts back, and according to the data on the track's site, the pitlane straight is only 440 m. and it is THE LONGER straight of the track.

So between turns 3 and 4 there are NOT 500 meters.

1. I think is damn important how much cars will be there. It's complicated find parking place and accommodation for 200 cars ( so probably for 400 people! This is the FIRST thing to do.... have a rough idea of many cars/member will be here.

I suspect, at the end, they will be around 70/80 cars, not more, and it would be a great result !

But it makes a huge difference for the organization between an 80 cars or a 200 cars meeting.

So, as I already asked before, please try to give me a prediction of members that will come, just to have an idea.

You know I just don't like an idea "you must go there, you must do this..." etc. Better one is something like "here is our meet base, we may do this, this and this. So choose who wants go with 'X' and make some races, or who wants go with 'Y' make some trip, or with 'Z' walk somewhere... After 5 hrs we meet here again" (hope you understand what I mean...)

and this is why I always use a track as a meeting's base:
who wants to ride, will come in,
and who wants to stay outside in the paddock to talk and BBQ ( that I still have to understand what does it mean... ), make pics, ecc.....

After the track, usually at 6 pm, we will drive our mountain roads to reach the restaurant and the hotel...

So this is the reason for renting a track.
